NetForum Cleanup Phase 1 - 2024

Customer Engagement owns the review of all duplicate records, both individual and organizational, for the first quarter of 2024. In this review we will identify duplicate records, chooses that will be merged or deleted and provide that list to IT.

To access the review document do the following steps:

1. Go to your Teams application

2. Choose the Teams Icon

3. Click on the Customer Engagement "General" Channel

4. Under the General Channel you will see a List of options at the top, Posts, Files and Notes.

5. Open the "Copy of Individual Duplicate Check 2-1-2024

6. Click on the tab at the bottom of the document and open the worksheet

7. Go through any duplicate records that may be for the same person/organization. Look for matching addresses, emails, groupings, etc.

8. Pull up two NetForum Tabs

9. Open each member tab by the customer ID

10. Verify to see which record should be deleted and which should be merged.  Choose a Primary record in cases of merging.

If one record has no invoices or events listed, put a "D" next to the record for deletion. If the records both have invoices, events or other accredited information that we should keep them choose "M" for Merge and use of the records as "P" for Primary. Hint: The primary should be the one with the most information in the record.

11. Verify the information in the Primary record follows the SOP for proper record entry and abbreviations (put link here)

12. When that review of the duplicate has been completed, move on to the next duplicate.

 

 

More Information on Next Steps:

  • Once the document is reviewed a copy of the document will be sent to IT. They will complete the Merge or Deletion as marked.
  • The Primary record will then be sent to Marketing. Marketing will send an email to the member, requesting updated information.
  • When the member replies, Customer Engagement will update the NetForm record.
  • If there is no response from the member, Customer Engagement will begin a call out campaign after an email reminder to the member.
