AAHA Award for Proficiency in Primary Care [formerly Student Award Winner]
MXS will be informed from the admin assistant by email or receive a spreadsheet in May or June about the winners from each college. MXS will add the 5-year memberships.
Unless otherwise stipulated:
All winners will receive the following (valued at approximately $3,925):
- 5 years of complimentary AAHA membership (limited to the 5 consecutive years after graduation).
- Subscription to print Trends magazine and digital subscriptions to Trends and JAAHA, Journal of the American Animal Hospital Association.
- Free subscription to AAHA Learning, AAHA’s online CE platform
- $500 credit per year to be used on any AAHA product or service (credit does not carry over from year to year, and it expires after four years).
- Formal announcements of the award in AAHA publications.
- A personalized plaque, congratulatory letter, and press release for use by the university or student.
Search for the person in the database.
If there isn’t a record, then add a new record for the individual with the updated information. Then scroll down to “Start Here” to add the membership.
If the graduate has a current student membership, update the prefix from Ms/Mr to Dr by clicking on the edit name and address tab. Change individual type from Veterinary Student to Veterinarian. Click Save.
Add credentials [DVM, VMD, etc.] by clicking on the in Designations in the Contact Info tab.
From the designation drop-down menu, select the appropriate designation. Click Save.
Update contact information [address, email, phone#] as needed in the Contact Info tab.
Add the approximate graduation date and school under the “Demographics” icon
Go to the Membership tab. Click on the arrow next to the Student [Active] membership.
Click Edit.
Enter today’s date in the termination date field. Select “Graduated Student” in the terminate reason drop-down menu. Click Save.
START HERE if you had to add the record.
Go back to the individual’s home page by clicking on the name. Click the invoice icon.
Click add membership.

- Uncheck the “send by email?” box as you’ll be sending a separate email

This is what the membership will look like [Comp Member Type(s): Student Award Winner ] will apppear in red. IMPORTANT: Make sure the expire date is 5 years out on 6/30 [ex. 6/30/2025].
If there isn’t an expire date, or if the expire date isn’t correct, click on the arrow next to the active membership. Click on the edit button.
Enter the appropriate end date in the “expire date” field
Make sure the “effective date” is the same or close to the join date
Select “Save”
Add notes under Correspondence Tab
Select the “high priority?” box

No Benefits Given:
Occasionally a school is not allowed to give benefits to the student. In this case, the recipient only receives a letter, plaque, and press release. Adjust the note in correspondence to reflect this. No email is needed.
