Accreditation Deals Workflow

Leads that are sent to Customer Engagement and assigned to Accreditation Specialist

This SOP was built for the 2025 Lead follow-up needed to be completed by Customer Engagement and the A-Team & Customer Engagement Team. 

Leads can come from Marketing, Conferences, PC's and Customer Contact in Customer Engagement

A HubSpot Deal will be created for each lead and assigned to the appropriate Accreditation Specialists (AS) with specific information on the Lead and the action requested by the practice/individual. 

If the Lead is not truly a Lead but maybe a question on a standard, these will be built into HubSpot as a ticket and assigned to an AS or CE for handling.

Customer Engagement will build the Lead into HubSpot Deals and then the AS will manage the communication through the HubSpot Deal. (see AS SOP)

 

Customer Engagement Standard Operating Procedures (SOP):

Step 1: Lead is Received into Customer Engagement

  •  Leads are assigned to Customer Engagement Rep
    • Example of how they would look coming from a conference lead:

Step 2: Customer Engagement Creates HubSpot Interaction

    • Create HubSpot Deal or ticket for follow-up (Tickets - follow current SOP for creating HubSpot Tickets)
      • HubSpot Leads and Entered as HubSpot Deals:
        • Enter the Deal information 
          • Deal Name:  VMX  - Practice Name or Practice Contact
          • Pipeline: Accreditation Pipeline 
          • Deal Stage: 1st Month - Initial Contact
          • Amount: $2,000
          • Deal Type: New Business
          • Priority: High
          • Contacts: Enter lead's email address, if available
          • Companies: Enter companies contact information, if available
          • Close Date: Choose date 6 months out
          • Deal Owner: AS assigned to that territory
        • Click Create 

    Step 3: Accreditation Specialist takes over the Lead

    • Follows Accreditation Interest SOP (Link to come soon)

    Step 4: Add the Workflow for AS's to follow as a Note in the Deal

    • Use #AccDeal to load the workflow into the note
    • Click Create Note
